We are new to Stone Edge and I have some questions for those of you using it with Quick Books.
How are you keeping track of P&L? We currently import all of our sales into QB using T-HUB and manually enter our PO's. I'm not all that familiar with Stone Edge's reporting or accounting tools, but I found that Stone Edge imports a summary of sales and does not import line item products. I am curious how we can move away from the old way and still provide accurate information to our accountant. I also do not know how to handle the "inventory" in Quickbooks. Any ideas? We have about 3,000 products. |

jgreco5, what version of QB are you running?
We accurately track our inventory in QB on a per item basis. We use QBWC to import all of our orders each month end. The COGS and inventory remaining for each product get automatically entered and updated in QB with each import. You will need to set all of your products up as "items" in QB prior to running any type of import. You will want to use the exact product codes that you use in Volusion. To add an item in QB, goto Vendors/Inventory Activities/New Item. You may want to ask the folks at StoneEdge if their software allows you to import item detail associated with each of your orders. |

We purchased SEOM months ago and other priorities got in the way of implementation. Just this week we installed it and are currently in process of setting it up. We plan to meet with our accountant to make sure everything makes sense before we go live with it.
Like you, we are also currently issuing PO's from Quickbooks. My understanding is that implementation of SEOM will require a shift of thinking. QB will become something that we maintain accounting information only, and will not be the central tool to manage our business (whew!). No longer will we maintain separate items or customers in QB. Here's how it looks like it is breaking down for us:
All details including inventory and customers are kept in SEOM. So, for your 3000 products, they would not exist in QB, only in SEOM. This solves a lot of Quickbooks problems for us, but creates some new potential issues. We're not that good at recording receiving, vendor shipping charges, and other things that require discipline with whatever solution you are using. Yeah, that's pretty much it. There's reports built into SEOM that you can view, and it's completely open source so you can either make, or have made any custom reports to suit your needs. Since all POs, and product invoices go through the software it does pretty complete reporting, we only use quicken to manage other non-sales related expenses.
I've heard some people talk badly about SEOM, and while it does have a bit of a learning curve, and can be buggy, it is dependable. We have been using it for 1.5 years and it's great. |
